Vision

Our district is committed to providing equitable access to school facilities for both our educational programs and the community. We strive to maintain a transparent, efficient, and balanced facility use process that honors the needs of our students, protects district resources, and fosters strong community partnerships. Through clear communication, collaboration, and careful management of our spaces, we aim to ensure that all users feel respected, valued, and supported in their use of district facilities.

Policy 4260: Facilities Use

Policy 4260: Use of School Facilities, public schools are owned and operated by and for the community.” It is the District’s goal and intent to allow the community to use district facilities when they are not in use for district-sponsored activities. All efforts will be made to allow the community to use district/school facilities while also prioritizing school and district program needs.

Parameters For District Use

  • School and district activities and events take priority over outside requests

  • At any time, an outside group may be “bumped” for a school-sponsored activity

  • The building will prioritize use based on student attendance of children involved in the activity

  • Requesters must provide proof of insurance/liability coverage prior to the event

  • Per policy: A custodian or other authorized staff member must be on the premises 

  • Facilities use is based on a fair and equitable process; not first-come, first-served. The District acknowledges that there are increased competing requests/interests

  • Windows for facility use will be established to ensure an equitable and fair process

If you are interested in using our facilities please read through the Request Process below and the Fee Schedule for this year. Then complete a Facility Use Application and turn it in to the corresponding school you wish to use.

Deer Park School District believes that the cost incurred by our own community should be minimal. When serving youth, and nonprofit groups, costs associated with facility use are for personnel fees (and in most cases, personnel overtime).

What are the steps for me to request building/facilities use?

1) Check with the building you would like to request use for to ensure availability.

a) Buildings will check availability (includes athletics and activities)

b) Priority is given to student/youth nonprofits and Deer Park community groups

2) Once established that the facility is available, the requestor will then connect with the Maintenance/Facilities Department to ensure necessary paperwork is completed. All outside groups will need proof of liability insurance prior to using school district facilities. Contact Jennifer Todd - jennifer.todd@dpsdmail.org.

3) Once the space is booked Facilities Department will notify you that your facility has successfully been booked.

4) After use has taken place the requester will be billed.

For seasons where a high volume of requests are made, to ensure equitable access to facilities, which include primary winter and spring, a due date for requests will be established.

Note: Gym usage across all of the schools varies. Final availability will be determined at or around the beginning of each session the number of school participants fluctuates depending on sport and season. For fair and equitable use of gym space, participants may be notified just before each session to ensure DPSD athletics are secured.
